RFQ Best Practices: Getting the Best Quotes from Suppliers
RFQ (Request for Quote) is how B2B buying starts. A well-crafted RFQ gets better responses and better pricing. A poorly written one wastes everyone's time.
Be specific about what you need. Include exact product specifications, desired quantities, quality requirements, packaging preferences, and delivery timeline. Vague RFQs get vague quotes. For example, don't just say "plastic boxes"—specify dimensions, wall thickness, color, and quantity.
Include realistic timelines. If you need samples in 2 weeks, state that. If you're flexible, say so. Suppliers work more efficiently with clear timelines and often offer better pricing if they can plan ahead.
Ask for complete pricing information. Request not just unit price but also pricing at different volumes (100 units, 500 units, 1000 units). Ask about MOQ, lead times, payment terms, and freight costs. Some suppliers hide costs that become apparent later.
Specify acceptance criteria. How will quality be measured? What sample size will be inspected? What are acceptable defect rates? This prevents disputes later.
Send RFQs to multiple suppliers. Minimum 3-5 suppliers in the same category. This gives you negotiation leverage and helps you understand market pricing. Note that lowest price isn't always best—consider lead time, quality reputation, and payment terms.
Give suppliers reasonable response time. 5-7 days is standard. Anything less is unreasonable. This matters because you're asking them to quote, source materials, and plan production for you.
Always follow up personally. A quick phone call or message asking if they received your RFQ and when they'll respond shows professionalism and often gets faster replies.
Compare apples to apples. When reviewing quotes, ensure you're comparing identical specifications and terms. One quote might be cheaper because it includes less packaging or longer lead time.
