Quality Control in Wholesale: Best Practices
Quality issues can destroy your business reputation and profitability. Unlike retail, wholesale quality problems can affect thousands of customers. Quality control must start at the supplier level.
Begin with samples. Before ordering 1000 units, order samples and test them rigorously. Check for defects, test functionality, verify dimensions, and assess materials. Some suppliers offer samples free; others charge sample fees (typically refundable on bulk orders). Take samples seriously—they're cheap insurance against large problems.
For significant orders, consider factory audits. Many professional suppliers welcome audits and actually conduct them as part of their own quality processes. Audits verify that they have proper equipment, processes, and quality control. You can hire local inspection companies or visit factories yourself for larger orders.
Establish clear quality acceptance criteria with the supplier. Specify acceptable defect rates, testing standards, and inspection procedures. Most industries have accepted quality standards (AQL—Acceptable Quality Level). A 2.5% AQL, for example, means 2.5% of units can have minor defects.
Use random inspection. After delivery, inspect a random sample of units (typically 5-10% depending on order size). Test not just appearance but functionality. Keep detailed records of defects.
Build improvement into relationships. If you identify issues, work with the supplier to improve rather than immediately sourcing elsewhere. Good suppliers want to improve and will implement changes for you.
Don't skip on inspection because it costs money. The cost of inspection (typically $200-500) is trivial compared to the cost of selling defective products. Your reputation and customer relationships are worth far more.
